This page explains how a booking works with Zeal Adventures, from the first payment to the final settlement. We keep the process simple, but a few rules protect both sides once cabs, hotels, and staff get booked on your behalf. Please read this before you confirm a trip.
How a Booking Gets Confirmed
We do not run an online booking system on this site. A trip gets locked in once we receive your advance payment and confirm the dates with you directly. Until that payment reaches us, a date or a slot is not held in your name.
Payment Terms
We ask for 30 to 50 percent of the trip cost as an advance, or full payment if you prefer to clear it in one go. You can pay this in cash at our office, or through UPI, GPay, or net banking, whichever suits you best. The full invoice must be cleared before the trip starts. No trip begins with an open balance on it.
Cancellation by You
Plans change, and we understand that. Our refund amount depends on how far ahead you let us know.
- More than 30 days before the trip: a small fee of 5 percent applies, and the rest is refunded
- Between 15 and 29 days before the trip: a partial refund applies
- Within 14 days, or during the month the trip starts: no refund applies, since our arrangements for that trip are already locked in by then
Some trips fall outside this general scale. We may already pay a hotel or a cab operator in advance. This often happens in peak season, when these bookings need early settlement. In that case, that portion may not come back to you, even if you cancel early. We will always tell you which parts of your trip carry this kind of advance cost, before you pay.
Rescheduling a Trip
We are glad to move your trip to a new date where we can. Keep one thing in mind. Stretching a multi-day trek, such as turning an eight day plan into more days, adds extra cost. We still need to pay our staff and our cab partners for those extra days. So a reschedule may bring an added charge on top of your first invoice.
If We Cancel or Change a Trip
On rare occasions, weather, road issues, or a permit problem may force a change from our side. When this happens, we will offer you a new date, a different route, or a refund for the affected part. We pick the option that fits your case best.
Documents Needed for Booking
Some routes need a valid ID for permit work. Certain zones in Sikkim sit under government watch. Please share a copy of your ID when asked, well ahead of your travel date, so we can process permits on time.
Group Size and Trip Minimums
Some of our trips need a set number of guests to run. This applies most to treks and multi-day safaris. If a trip does not reach this number, we will tell you early. We will then offer an alternate date, a different trip, or a refund, based on what you prefer.
Pricing
A price we quote to you holds for the trip and dates we confirm in writing. A price shown on our website, our brochure, or in casual talk may shift. Season, fuel cost, and permit fees all play a part in this. So please treat your final invoice as the number that counts.
Questions About Your Booking
If any part of this policy feels unclear, reach out to our team before you pay. Your case may not fit neatly into what is written here, and that is fine too. We would rather sort out a doubt early than leave you unsure close to your trip date.
